How to collect emails from Facebook group members without turning the group into a form

For new applicants, the cleanest moment to request an email is usually inside a membership question—paired with a specific resource or follow-up they actually want. The operational challenge is saving that answer and routing it somewhere useful.

New members: use the join request

Create a membership question that explains the value exchange in plain language. Instead of “What is your email?”, say what you will send and make the request easy to understand. Keep the rest of the questions focused on fit and needs rather than collecting every possible data point.

Existing members need a different path

Membership questions help with future joiners; they do not retroactively collect emails from everyone already in the group. Existing members need a separate opt-in path such as a useful downloadable resource, event registration, newsletter signup or pinned post leading to a form.

Save the answer reliably

At low volume, you can manually move answers into a sheet. At higher volume, capture tools reduce copy-paste. GroupConvert's current extension listing describes Google Sheet transfer and CSV export, while competing tools may offer direct autoresponder integrations.

Keep the permission trail understandable

Record what the person asked for and avoid silently enrolling them into unrelated promotions. Your email platform should provide the normal controls for unsubscribe and data management. Privacy requirements vary by jurisdiction, so high-volume or international operations should use appropriate legal guidance.

Match the first email to the promise

If you promised a checklist, send the checklist. If you promised weekly group-growth tips, make that expectation clear. The tighter the connection between the question and the first message, the less confusing the transition from Facebook to inbox feels.

When automation makes sense

Automation becomes useful when request volume is high enough that admins delay approvals, miss answers or duplicate data entry. Start with the smallest workflow that solves the problem, then add CRM tagging or sequences only when there is a clear reason.
